Terms and Conditions:

1.     The Auk’s Lodge will provide all alcoholic/non alcoholic beverages and will receive all revenue generated at the bar.

2.     The Auk’s Lodge is a non-smoking facility.  Smoking is permitted on the patio in the designated area.

3.     A 50% deposit is required upon booking.  This deposit is non-refundable.  The amount outstanding is due 30 days prior to the function.  The final payment is also non-refundable.

4.     Staff will be supplied under the discretion of the Management.

5.     A $4.00 (plus GST) per bottle corking fee applicable on wine products sold by the bottle.

6.     Wine may be brought into the facility, with the above corking fee applicable.  A Special Occasion Permit (SOP) must be secured by the renting party at the LCBO at least 30 days prior to the event and a copy given to the Auk’s Lodge Management.  The original SOP must be on premise during the function.  AGCO regulations mandate that the Auk’s Lodge bar MUST close during wine service until all wine bottles (empty or full) are removed from the premise unless wine is purchased and served by Auk’s Lodge staff on the Auk’s Lodge Liquor License only.

7.     The rental party will be liable for any and all damage or vandalism that occurs as a result of the function.

8.     Arrangements should be made for decorating the venue upon signing of the contract and times noted above.

9.     All decorations must be removed immediately following the function.  All decorations presently on the walls of the Auk’s Lodge will not be removed by the Staff or anyone renting the facility.

10.   Parking is available directly outside the venue.  To ensure patron safety, the college requires fire routes to be vehicle free at all times.  Vehicles may be towed at the owner’s expense for parking violations.

11.   Auk’s Lodge Management reserves the right to ensure any food brought into the venue must be authorized in writing by Auk’s Lodge Management prior to the function to ensure health and hygiene compliance.

12.   The Auk’s Lodge does not have refrigeration or kitchen facilities available for external caterers.  It is recommended to use the internal caterer for all events to ensure proper food handling practices.

13.   Without exception, all Patrons must present valid Identification regardless of age to Bar Staff to consume alcoholic beverages. 

14.   The Auk’s Lodge is licensed to a maximum 140 patrons for a sit down meal, or 160 patrons for a buffet meal, with an additional 175 on the patio outside only.  The Auk’s Lodge reserves the right to deny entry once maximum patron limits have been reached.

15.   It is recommended to discuss with Management maximum capacity for seating capacity for meals.

16.   If any underage patron is suspected of drinking prior to the event, they will be denied entry.

17.   If any underage patron is caught drinking inside the venue, they will be asked to leave. 

18.   Anyone suspected of purchasing alcoholic drinks for underage patrons is violating the law and will be asked to leave.

19.   Management requests that anyone renting the Auk’s Lodge become familiar with and adhere to the Auk’s Lodge House Policies posted in the venue.  We strictly adhere to our house policies and AGCO policies and procedures.

20.   Any pre-paid tickets for bar will be subject to a minimum 15% gratuity for servers

21.   External catering and DJ services are permitted, however, a separate appendix to this contract is necessary

  • The Host is responsible for all damages and repair costs
  • Staff for admission and coat check are the responsibility of the Host
  • All other staffing for the event (bartenders/security) is at the discretion of the Manager
  • Float money for admission and coat check is the responsibility of the Host
  • Promotional material is the responsibility of the Host
  • Prizes for the events planned by the Host are the responsibility of the Host, although the Auk's Lodge may be able to supplement prizes should quantities exist. Check with the Bar Manager upon submitting this form
